The CPA Technology Advisor
October 2006 - Practice Management
Office Tools Pro 2006 is a versatile office management
suite with a target audience of tax and accounting firms
and law firms with fewer than 20 active timekeepers. Offering
document management, calendaring/scheduling, project tracking,
time and billing, and contact tracking, this product packs
a lot of features into an organized and affordable package.
Office Tools Pro is arguably one of the most intuitive
practice management products in this review. It includes
an introductory guide that begins at the end of the installation,
which can be run parallel to setting up your company (dual
monitors work great for this, by the way). The guide even
makes sure to emphasize the importance of running updates
from the website. Data-entry forms are easy to find, and
retrieval of information is fairly effortless.

Accounting Technology July 2006 - WebCPA
The sweet spot for Office Tools Pro is the smaller firm
with 20 or fewer timekeepers. Prices start at $500 for
a single-user version. Included in the software are contact
management, billing, invoicing, scheduling, project tracking,
records management, and document tools. Different levels
are available for sole proprietors or those who may not
need all modules in the base program.
Drawing upon an "all-in-one-design" approach, each screen offers
easy access to client information, as well as most of the functions of the
different modules. The main contact screen tracks all name and address information,
along with details on additional contacts. The bottom of the screen holds all
pending tasks, including critical due-date driven items.

- Document Management
Office Tools Pro is a unique solution in that it is a
suite of core accountant/small business applications, which
is completely integrated and operated from a single interface.
The balance between simplicity and depth of functionality
is impressive.
If you clearly understand the small firm
market to which this is targeted, it is a compelling
option. It doesn’t have many of the enterprise-level features
that a large firm requires, but the sole practitioner or
small firm probably doesn't need those features anyway.
If you can take advantage of all of the integrated applications,
the value is even that much greater.

Management
For more than a solo CPA firm, Office Tools Pro is among
the easiest PMs to learn and use. It costs about the same
as TPS and is flexible and well written.
Strong Points: You can access nearly the whole program
from one screen. It stores form letters and staff signatures
for use in letters and emails. And firms moving toward
paperless will appreciate its Adobe routines built into
the menu system.

FEATURES - 4 Stars
Firm preferences allow a firm to define invoice settings such as default type
and format, graphics, aging, and so on. Users define validation lists such
as business relationships, entity types, family relationships, industry,
profession, etc. (this process could be more efficient). Other options include
project rules controlling when to add it to the current projects list and
notifying staff of events (add an item to their task list) based on project
due dates, status and estimate information.
